Ashbrook Celtic FC ("the club", "we") is responsible for the personal information collected through this website. This notice explains what we collect, why, and what your rights are. It's written in plain English; if anything is unclear, email registrar@ashbrookcelticfc.co.uk.
What we collect and why
When you register a player. The parent or guardian's name, email, phone number, address and a second contact; the player's name, date of birth, gender, any medical information you choose to give us, an emergency contact, and whether photos are OK. We need this to register the player with the league, run the team safely and contact you about training and matches. The lawful basis is the membership agreement between you and the club, and — for medical information and photos — your consent, which you can withdraw at any time.
Payments. Card payments are handled by Stripe. We see the amount, the date and the last four digits of the card; we never see or store the full card number. We keep payment records for six years because tax law requires it.
When you contact us. Your name, email and message, so we can reply. We delete enquiries after 12 months.
Newsletter. Your email address, only if you sign up and confirm the link we send. Every email has an unsubscribe link, and we delete unsubscribed addresses within 30 days.
Photos. We publish photos of matches, training and events on this site and our social media. We only publish photos of players whose parent or guardian has given photo consent, and we'll take a photo down if you ask.
Analytics. We don't use analytics or tracking cookies on this site.
Who else sees it
The club's committee and the volunteers who need it — the registrar, a player's coaches, the child welfare officer. Player details go to the club's league and to The FA for registration and insurance.
The website and admin are provided by ClubPress (Rendella Media Ltd), which processes the data on the club's behalf under a written agreement and uses these services to do it:
- DigitalOcean — Hosting, database and backups (London, United Kingdom)
- Stripe — Card payments (registrations, shop), paid into the club's own Stripe account (Ireland / United States (Stripe DPA, SCCs))
- Resend — Sending registration, payment and sign-in emails (United States (Resend DPA, standard contractual clauses))
We don't sell data or share it with advertisers.
How long we keep it
While a player is registered with the club, and for 2 full seasons afterwards in case they come back. After that, names, contact details and medical information are removed; payment records are kept without any personal details for six years. You can ask us to remove your family's details sooner at any time.
Your rights
You can ask for a copy of what we hold (you can also download it yourself from your account on this site), ask us to correct it, ask us to delete it, or object to how we use it. Email registrar@ashbrookcelticfc.co.uk and we'll respond within a month. If you're not happy with our answer you can complain to the Data Protection Commission (Ireland) or the Information Commissioner's Office (UK).
Coaches and volunteers
All our coaches are DBS-checked and hold a safeguarding qualification. We hold their name, contact details and vetting status for as long as they volunteer with the club.
